Description: We are India (TN) based looking to outsource our requirement of Cad/Cam Service. We are looking for Scanning and archiving of Drawings along with Software Provision. The duration of the contract is 1 year.

Scope:
1. Scanning (Black and White) approximately 50,000 numbers (A1 size equivalent) of the building plan drawings of sizes varying from A4 to A0. Since the size wise number of hard copies to be processed is not ascertained, the equivalent size of A1 is considered. The other sizes of A0, A2, A3 and A4 shall be converted into multiple / fraction of A1 size as follows.
a. A0 = A1 x 2; (b) A2 = A1 / 2; (c) A3 = A1 / 4 & (d) A4 = A1 / 8
2. The hard copies are available in the form of blue prints
3. Providing clearly visible scanned images with all the available details as in the hard copies.
4. Indexing the sanctioned images properly with key attributes like name of the applicant, address of the property, etc. which are available with the hard copies of the drawings to be scanned.
5. Archiving the scanned and indexed images properly in our data base in PDF for future retrieval.
6. Supply of software (user interface) to store, retrieve, search, maintain and manage the scanned images with appropriate access control in a secured manner. The number of users shall be unlimited. The software shall be Java based with Oracle back end and compatible with Linux OS.
7. Service Provider has to provide a Document Management System capable of managing and integration with our existing MIS.
8. Service Provider shall procure and provide necessary licenses for data bases, operating systems and other required software.
9. The system shall be scale able to suit all our current and future storage requirements. There shall be no significant performance overheads as volume of usage increases.
10. The software shall be very user friendly since the retrieval facility is going to be provided for the common public through Internet for viewing and taking print outs.
11. The software with the source code shall be handed over to us with all relevant details such as algorithms used. Sufficient number of copies of user manuals shall also be provided.
12. Service Provider has to impart training to our staff to work on the document management system including archives and to have the ability to use the system effectively.
13. The entire process shall be carried out within our premises in Chennai. The space and electricity shall be provided by us at free of cost while scanners, stationeries and other equipments are to be managed by Service Provider.
14. The scanned images and data shall be submitted in readable DVDs also.

This is an on shore and off site tender. The EMD is 30000 INR. Interested service providers are requested to contact no later than July, 23, 2010, 3:00 PM by courier, post or email. Service providers may have to visit our premises for meetings.
